Moving, transport and move-out cleaning – Helsinki, Espoo and Vantaa

Moving Terms

Terms and conditions of the Nordic Trio Service Oy moving service.

This is an English translation of the moving terms of Nordic Trio Service Oy. In case of any discrepancy, the Finnish version prevails.

1. Ordering the service and the agreement

The moving service must be ordered in writing, either by email or through our website. The agreement is concluded when the customer has accepted the quote and received a written confirmation. The price of the moving service is based on the estimated scope of the move and its requirements. If the scope or content of the move changes during the service, the price may change accordingly.

2. Scope of the service

The moving service covers transport, unloading and, if needed, packing (a paid additional service). The details of the service are agreed with the customer in advance. Special services, such as moving pianos, handling valuable items or moving special furniture, may require an additional fee.

3. Liability

The moving service is only liable for damage to belongings if the damage is caused by careless handling or transport. The customer is responsible for ensuring that access routes are safe and unobstructed. The service provider is not liable for damage caused by the customer’s negligence, incorrect packing or unprotected items.

4. Schedule

The moving date and schedule are agreed with the customer in advance. If the customer needs the moving service on a specific day, the booking should be made as early as possible. Nordic Trio Service Oy is not liable for delays caused by force majeure (e.g. weather conditions, traffic accidents, road closures due to roadworks).

5. Special features of the move

Any special features of the move (e.g. stairs, narrow passages, long corridors or no lift) must be reported in advance. The customer is responsible for ensuring that the belongings fit inside and that the premises are suitable for moving the items. Any obstacles for large vehicles on the route (such as low bridges or narrow streets) must be mentioned in advance.

6. Storage during the move

If interim storage of belongings is needed before delivery, this must be reported in advance. The price of storage is determined by the space required and the storage period.

7. Payment and cancellations

Nordic Trio Service Oy has the right to charge an advance payment before the work begins. The amount of the advance payment is determined case by case and is deducted from the final invoice when the work is completed. The advance payment serves as a booking fee that confirms the agreed moving date and the performance of the work.

The final payment for the moving service is made immediately once all belongings have been delivered to the destination and the work has been completed, unless otherwise agreed in writing. Payment can be made in cash or by card (a payment terminal is available). If payment cannot be made immediately after the move, the supervisor may come later on the same day to collect the payment.

Payment by invoice is only possible if separately agreed in writing before the work begins. The company has the right to refuse invoicing without a prior agreement.

If the customer cancels the move less than 24 hours before the agreed time, Nordic Trio Service Oy has the right to charge a cancellation fee covering the costs of the reserved resources and workers. If the move cannot be carried out for reasons attributable to the customer (e.g. failure to pay, wrong address, obstructed access), the company has the right to charge the full price according to the agreed working time.

8. Customer obligations

The customer is responsible for ensuring that all belongings are properly packed and clearly labelled. Access routes must be clear and safe before the move begins. The customer must be present throughout the move or appoint a responsible person who supervises the move and receives the belongings. If belongings have to be left temporarily on the street, the customer must agree on supervision with the movers. The company is not liable for unsupervised items unless a separate written inventory has been made and approved by the movers.

9. Insurance

The customer must have valid home insurance or other equivalent insurance that covers any damage that may occur during the move. Nordic Trio Service Oy has liability insurance that covers damage only if it is caused by proven negligence or workmanship errors by the company or its employees.

The company’s liability is limited to the level of compensation under the Finnish Road Transport Contracts Act (TKSL) and the industry’s general terms. The company is not liable for indirect or consequential damage, such as loss of income, downtime or non-material harm.

If the customer considers that damage occurred during the move, the customer must have clear and verifiable evidence that the damage occurred specifically during the move and as a result of Nordic Trio Service Oy’s actions. Such evidence may include photographs before and after the move, eyewitness observations or other similar documented material.

Damage must be reported immediately to the workers on site and a written damage report must be submitted without delay. If damage is not reported immediately after it is discovered, or if evidence of when the damage occurred cannot be presented, the company has no obligation to compensate.

Nordic Trio Service Oy is not liable for damage caused by inadequate packing, unprotected items, incorrectly estimated weights, incorrect information provided by the customer, circumstances the company could not reasonably have anticipated, or force majeure.

If the customer’s insurance is used to cover the damage, the company’s liability is limited to the deductible of the insurance, provided that the damage has clearly been shown to have been caused by Nordic Trio Service Oy’s negligence.

10. Important notes (customer’s responsibility)

Cupboards must be emptied before the move. Furniture must be protected – the company is not liable for breakage of unprotected items. Floor protection is the customer’s responsibility. The company is not liable for breakage of overpacked or overly high stacked boxes. Nordic Trio Service Oy does not transport weapons, hazardous substances, gas cylinders, petrol canisters or animals.

11. Packing instructions (customer’s responsibility)

All small items must be packed in closed boxes. Fragile items must be clearly marked (“FRAGILE”) and properly protected. Furniture and electronics must be protected before the move. Loose parts (legs, cables, shelves, etc.) must be removed and packed separately. Items must be liftable safely and without obstruction. The company is not liable for damage caused by inadequate packing or protection.

12. Highlighted liability terms

The company is not liable for damage to unprotected floors, furniture or items. The company is not liable for cupboards that have not been emptied or disassembled. Panels, legs, loose parts or other unprotected components are not compensated if damaged. If an item breaks inside a box but the box is intact on the outside, the company is not liable, as the likely cause is the item moving inside the box.

13. Customer cooperation during the move

To ensure a smooth move, the customer should meet the movers outside and show the door through which the move will take place. If it is unclear whether the front door or the courtyard door is better, this should be checked with the movers before the van is driven to the site. This avoids unnecessary driving and saves time.

14. Alcohol

Nordic Trio Service Oy has the right to refuse to carry out the moving service if the customer is intoxicated. In this case, the full estimated price of the moving service will still be charged, as the workers have been reserved for that time.

15. Occupational safety

The customer must report in advance any unusual occupational safety risks at the site, such as cramped spaces, heavy special items or other special conditions. If the workers detect hazards, they have the right to stop work immediately. In such cases, Nordic Trio Service Oy invoices for the work done, but at least an amount corresponding to five hours of work. The company always complies with the Occupational Safety and Health Act and the regulations on drivers’ driving and rest times.

16. Special terms and changes

Nordic Trio Service Oy reserves the right to change these terms without prior notice. Changes only apply to future orders. Any changes the customer wishes to make to the move must be reported as early as possible.

17. Disputes and governing law

Any disputes are primarily resolved through negotiation. If no settlement is reached, disputes are handled in accordance with Finnish law in the district court of the company’s domicile.
